Next-Level Production Finance: Efficiency in Action with All3Media America

Ever wondered what it really takes to keep dozens of productions running smoothly—without drowning in paperwork or endless email threads? That’s exactly what All3Media America’s Brian Nelson and Nicki Moore unpacked in our latest GreenSlate-hosted webinar, and let’s just say, it’s not your typical “best practices” session.

Right from the start, Brian lays it out:

“We didn’t want our accountants to be bookkeepers. I wanted them to be involved with cost analysis, and financial communication to the production teams and executives.”

So, how did they get there? Instead of settling for a one-size-fits-all system, Nicki and her team rolled up their sleeves and mapped out every approval flow, every role, and every handoff. Then, they worked with GreenSlate to build a platform that actually fit the way their teams work—not the other way around. Nicki puts it best:

“We really sat down and went through our workflows, our processes, how we wanted it to work… We also set up customized roles for everyone, so there’s a whole bunch of roles that grant permissions. And, like Brian said, it’s a one user login. So, depending on what role and permissions you’ve been granted, that’s how much of the system you’ll see.”

What does this look like in practice? Here’s a glimpse:

    • No more hunting for lost paperwork. Nicki can instantly check which project a Hertz rental belongs to, thanks to cross-project access. No more chasing down every accountant for answers.
    • Payroll isn’t a weekly fire drill. With everything digital, processing payroll takes half the time, and everyone sees where things stand in real time. “I don’t have a stack, a mountain of paper. I don’t have to scan timecards or try to read someone’s handwriting,” Nicki says. “And then I can also see in real time where it is in the process. So there’s a lot more accountability, not just for our crew and production, but for the production accountants as well.”
    • Feedback isn’t just encouraged—it’s built in. Every rollout starts with a small project, gets refined, and then expands. The team’s weekly check-ins with GreenSlate turned into a monthly rhythm, and now, as Nicki notes, “I can’t remember the last time I had a training session, because we’ve trained up all of our accountants. So now they’re the first line of troubleshooting for everyone.”

Of course, the conversation goes deeper. Brian and Nicki also touch on how they picked a tech partner (hint: “one system, one login” was non-negotiable), how compliance and reporting have gotten easier, and why a culture of collaboration—where egos are left at the door—makes all the difference.

But the real gold is in the details: the moments where a small change saves hours, or a custom report heads off an audit headache before it starts. This isn’t a highlight reel. It’s a candid look at the work behind the workflows.

Curious how these strategies play out when the pressure’s on? Want to see the actual systems—and the people—making it happen?
